6 Quick Tricks for Users of Multiple Gmail Accounts

These great tricks will have you using Gmail with multiple accounts. And doing it in style: faster, easier, safer, and with less trouble then ever before. Check ‘em out and let us know your favorite tricks.

1. (Automatically) Reply from the same address the message was sent to.

2. Check your POP Mail NOW!

3. Label Mail by account.

1. (Automatically) Reply from the same address the message was sent to.

Sending personal emails from your business account is a big no no, that makes this is a super important trick. When you get lots of emails from lots of different people coming into lots of different accounts, having replies automatically sent from the right account saves lots of time (not to mention the bungles).

Go to: Settings -> Accounts

And select “Reply from the same address the message was sent to.” That’s it!

2. Check your POP Mail NOW!

One issue with Gmail checking your pop mail is that it can take up to an hour for new messages to come in. Don’t let that get you down or keep you waiting – you can have Gmail check your messages whenever you want! Just use this quick trick to check your pop mail RIGHT NOW!

Go to: Settings -> Accounts

You will see the following information in the middle of the screen:
I don’t know why they hid this really important feature all the way down there, but here it is.

Click “Check Mail Now”

That’s it!

3. Label Mail by Account.

When you set up your POP mail account checking, you had the option to label mail automatically based on which account it comes to/from. If you didn’t choose that option, it’s not too late: we can use filters!

First, let’s create a filter that automatically tags all mail sent to this account, and labels it.
Click “Create a filter” next to the search bar in Gmail

Now, in the “To:” field, enter in your POP3 email address, and click next step.

Check Apply the label and also check “Also apply to x conversations below” to apply the label to mail you have already received.

Now click Apply the label, and create a new label – name the label appropriately.  Click “OK” and then click “Create Filter”

Great, now you have a filter – now lets edit the label on this account so it’ colorful (and stands out)!

4. Use Colorful Labels!

Colorful labels make your accounts stand out. This is good because when important email goes to account A, and newsletter spam goes to account B, you want A to stick out, no?
So here’s how we get ‘er done.
Under the labels box (to the left of your inbox), click on the little square, and pick a color combination.

As you can see, emails that went to gwebs@inbox.com are now bright red.

5. Choose the right email address when sending mail.

If you didn’t setup your account to automatically choose your email address (see tip 1) or even if you did, and you need to change the email address you are sending from, doing so is easy.

Usually when you send email there is a pull down menu which allows you to select your out-going email address.

However, you reply to an email there is no pull down menu, so you have to click “change” to change your email address, and then the pull down menu comes up.

Now choose your address and send as usual. Easy breezy.

6. Add Email encryption.

Email encryption is a key technology to protect your vital information from eavesdropping and theft. MailCloak email encryption allows users to use OpenPGP-standard and PGP compatible public key encryption (used by the US Department of Defense!) with gmail and Google apps.
